Marketing Services Coordinator

 

Leading provider of infection prevention and other procedural products and services in Mentor since 1985. The company is focused primarily on healthcare, pharmaceutical and medical device Customers.

The Marketing Services Coordinator supports the Marketing Services Department s execution of various initiatives with responsibilities including: tradeshow and industry event planning and logistics, vendor and print management, and marketing collateral production support. Working closely with Creative Services and Tradeshow management, the Marketing Services Coordinator plays an important role in the organization and execution of work to ultimately support the North American Commercial Operations Organization s strategic plan

  • Up to $20/hr based on experience
  • 1st shift 8AM 5PM / 4 days a week (32 hours/wk)

Duties include:

Tradeshow Logistics & Planning 50%

         Initiates planning meetings, captures meeting notes and action items, follows up with individuals as needed to ensure all action items are met

         Coordinates event schedule, logistics, exhibit house details, onsite service orders, etc.

         Develops information packs and staffing plans for those attending a conference

         Coordinates staffing logistics, including housing and registration

         Manages and tracks tradeshow budget, coordinates tradeshow payments

         Supports tradeshows on-site, including set up, tear down, on-site logistics, troubleshooting, etc.

         Facilitates the transfer of leads to the appropriate sales team(s) and/or businesses, ensuring timely receipt by the sales organizations, including accurately defined action items

         Keep accurate records of expenses for ROI analysis

         Researches additional events for consideration

         Coordinates tradeshow materials needs, including product and literature requirements and quantities

 

Creative Services Coordination 25%

         Facilitates the approval process for collateral according to the control procedure, passes reviewer feedback to the appropriate individuals, and tracks progress ensuring stakeholders are updated

         Secures print quotes from the vendor and approvals from the businesses, facilitates approval of a print proof, and processes print orders

 

Marketing Services Support 25%

         Coordinates translation services including vendor management, cost estimates, business approvals, order confirmations, and invoices

         Creates and maintains project and department files for document control and compliance to procedures

         Manages vendor invoices and PO requisitions ensuring charges are allocated to the proper cost centers

         Sets up new vendors in the required systems

         Facilitates the capital purchase order process when necessary

         Coordinates the logistics and payment for corporate sponsorships

         Manages and maintains the inventory for photography shoots, ensuring inventory levels, tracking, and quality

Requirements:

         High school education or equivalent diploma
