Administrative Assistant – A/R and A/P
Are you a highly organized and detail-oriented administrative assistant with experience using QuickBooks? As an administrative assistant, you will play a crucial role in supporting the daily operations and maintaining financial records using QuickBooks. The ideal candidate will have a strong background in administrative tasks, exceptional organizational skills, and proficiency in QuickBooks software.
 
What You Will Do:
  • Perform general administrative tasks such as managing phone calls, emails, and correspondence.
  • Maintain and organize physical and electronic files, ensuring accuracy and confidentiality.
  • Prepare and process documents, invoices, quotes and work orders.
  • Assist in the accounts payable and accounts receivable processes, including data entry and reconciliations.
  • Process expense reports and assist with payroll activities.
  • Monitor and maintain inventory records, ensuring accurate stock levels and timely reordering.
  • Assist in preparing financial reports, including profit and loss statements and balance sheets.
  • Collaborate with team members to support various projects and initiatives.
  • Strong Customer Service skills and positive personality
  • Conduct research, compile data, and prepare reports or presentations as needed.
  • Answer phones, assist with client and employee questions and needs.
 
What You Need:
  • You must have 2-3 years experience in QuickBooks. There is no training offered on this requirement. 
  • Proven experience as an Administrative Assistant or in a similar administrative role.
  • Strong proficiency in QuickBooks software and knowledge of basic accounting principles.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize tasks, handle multiple projects simultaneously, and meet deadlines.
  • Strong written and verbal communication skills.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Strong problem-solving and decision-making abilities.
  • Professional demeanor and ability to work well within a team.
