Administrative Assistant


Our client has been a leader in specialty office furniture in the Clearwater area for over 60 years.  Due to increased demand for their products, we are currently searching for professional, reliable and self-motivated candidate to fill their open Administrative Assistant position.


Duties include:

         Manages the reception area to ensure effective telephone and mail communications.

         Coordinates all administrative activities for the CEO (drafting correspondences, presentations, managing meeting calendars, and tracking of information/deadlines).

         Schedules and organizes activities such as meetings, travel, conferences and department activities for all members of the department.

         Participates in trade show preparations with management team and organizes company events such as picnics, outings media and open houses.

         Participates as needed in special department projects which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures, and owner manuals.

         Responsible for the coordination of the facilities day-to day operations (such as IT and computer requests, housekeeping, recycling, changing light bulbs, heat problems etc.).

         Coordinates the maintenance of office equipment, including copier, fax machine, postage machine etc.

         Establishes, develops, maintains and updates on-line and physical flings system for the CEO.

         Assist with coordination and maintain some HR items, job descriptions, temp company contact, org chart, new employee on-boarding, etc.

         Oversees and manages the purchase of office supplies and office equipment.


Requirements include:

         Associates Degree plus 1-2 years of experience.

         Knowledge of switchboard, office procedures and computer skills.

         Working knowledge of mail processes such as postage machine, Federal Express and UPS.

         Good planning and organizational skills.

         Experience in office management capacity and ability to negotiate effectively.
