Job Description

The Office Manager is expected to drive best practices in finance, administration, and human resources management within the organization to maximize efficiency and growth.

PROFILE
To succeed in this role, you must be analytical, organized and structured with an eye for detail.  You must have the ability to work independently and to take initiative.
Your role involves constantly planning and re-planning, predicting, and solving upcoming problems to reach deadlines, facilitating team collaboration, and handling confidential and sensitive information with integrity and responsibility.
 
Financial Management
  • Ensure efficient and accurate financial monitoring and reporting to Technical Director and Accountant.
  • Prepare the annual budget in consultation with the Technical Director and Accountant.
  • Prepare financial reports on a monthly basis for check-ins with the Technical Director.
  • Create and execute short and long term comprehensive financial strategies to reach company budgetary goals.
  • Recommend innovative alternatives to generate revenue and reduce unnecessary costs.
  • Prepare invoices for clients and resolve any billing issues.
  • Develop and put into practice procedures for handling finances and accounting, review accounting discrepancies and recommend corrective actions.
  • Keep track of accounts payable and accounts receivable.
  • Review AR and AP and authorize AP payments per budget and scheduling.
  • Coordinate AR and AP ratios and communicate with Technical Director if budgets are exceeded.
  • Follow up on delinquent accounts and coordinate collection processes with Technical Director.
  • Focal point with external entities such as Accountant, auditor and tax authorities, etc.
  • Make sure tax reporting obligations are timely fulfilled and reported correctly.
Office Management
  • Develop, improve and document administrative procedures.
  • Coordinate weekly meetings for team processes and communications, initiate, convene and review minutes taken for approval and action items.
  • Handle contacts and office contracts.
  • Track progress of ongoing long-term client projects.
  • Weekly or As-Needed Check-in processes with clients and vendors to coordinate timely project accommodations and delivery.
  • Prepare and proofread internal documents.
  • Management of Contractor Safety Management Systems.
  • Management of Safety Programs and Training.
  • Oversight of travel arrangements, as necessary.
  • Client contract management and document control.
  • Inventory management and audits.
  • Coordination of shipment arrangements, as necessary.
  • Vehicle maintenance and registration coordination, as necessary.
Human Resources Management
  • Support the Technical Director in relation to recruitment processes and human resources matters.
  • Develop and manage human resources procedures in line with current SHRM guidelines.
  • Ensure proper onboarding and general safety training of new employees.
  • Bi-weekly payroll processing and audit reconciliations of tax allocations.
  • Management of promotions and raises, and benefits allocation.
  • Coordination and administration of employee evaluations in conjunction with Technical Director.
  • Ensure an efficient time and travel claim reporting process is followed and audited.
