Our client is one of the largest national healthcare support systems in the US. They are looking for an administrative assistant to provide support to a senior vice president in their Nashville TN team. This assistant is responsible for providing high level of professionalism and confidentiality. If you are looking for that small company, feel with the security of a large, established employer, look no further!

  • Monday through Friday work schedule
  • Pay starting at $29 an hour.

Your new role as the senior administrative assistant:
  • Coordinate Senior VP’s calendar, schedule meetings/events on their behalf and assist in coordination of various team meetings/events. 
  • Serve as primary contact for department guests and assist with meeting planning, including planning for meeting rooms, refreshments, AV equipment, etc., as needed, and facilitate inquiries into department. 
  • Code and coordinate all invoices through the approval process, working closely with company accounting function and prepare month end reports and submit time usage for Kronos.
  • Coordinate monthly communications with leaders, employer clients, and others, as directed.
  • Develop and maintain accurate team/directors/employer contact lists, including addresses (email & physical), phone numbers, etc.
  • Provide general administrative support, including creating labels for packages/letters to be mailed and ensuring parcel drops, making copies, filing, answering phones, delivering mail, sending faxes, drafting, and typing correspondence, etc.
  • Assemble and keep track of monthly performance reports from department managers for executive leadership.
  • Assist with proofreading and editing department documents.
  • Demonstrate a mature approach and commitment to work.
Your experience:
  • Must be able to use best judgment to prioritize the executive’s time based on greatest need.
  • Expert level oral and written communication skills. 
  • Ability to handle confidential information appropriately.
  • Proficient at Microsoft Word, Excel, Outlook, and PowerPoint
  • Good interpersonal skills
  • Ability to multi-task and meet changing deadlines.
  • 3+ years of previous executive administrative support experience
